Who this notice is for
This notice covers business contacts at UK dental practices who we contact about BookBack, our treatment-recovery service, and anyone who contacts us through this website.
What data we hold
For business contacts, we typically hold: name, job title, practice or company name, business email address, business telephone number, practice website and address, and publicly available information about the practice (such as whether it offers private treatment).
We do not hold or process patient data through this website or through our marketing. Patient data is only ever processed under a separate written agreement with a client practice.
Where we got it
From two sources: a third-party business data provider that compiles publicly available business contact information, and publicly available sources such as practice websites, Companies House, and professional directories.
Why we use it
To introduce BookBack to dental practices we believe may benefit from it, and to follow up where there is interest.
Our lawful basis
Legitimate interests — specifically, our interest in promoting a relevant business service to businesses likely to find it useful. We have carried out a legitimate interests assessment balancing this against your rights, and we will provide a copy on request.
We only send marketing email to businesses in a business capacity.
How long we keep it
Business contact data is kept for 12 months from our last contact with you, then deleted. If you ask us to stop contacting you, we keep a minimal record of your email address indefinitely on a suppression list, solely to make sure we do not contact you again.
Who we share it with
Our email and IT service providers, who process data on our behalf under contract. We do not sell, rent or trade your data, and we do not share it for anyone else's marketing.
Some of our service providers may process data outside the UK. Where they do, we make sure appropriate safeguards are in place — such as UK adequacy regulations or an International Data Transfer Agreement — so that your data receives equivalent protection.
Your rights
You can ask us to stop contacting you at any time — reply "unsubscribe" to any email, or email enquiries@systemscaleuk.com. We will action it immediately and without question.
You also have the right to access the data we hold about you, to have it corrected or erased, to restrict how we use it, and to object to our use of it. To exercise any of these, email enquiries@systemscaleuk.com.
Cookies
This website does not set any non-essential or tracking cookies, and does not use analytics or advertising cookies. It loads its fonts and displays its content without profiling you.
